About this policy

This Privacy Policy (the ‘Policy’) outlines POA’s ongoing obligations to you in respect of how we manage your Personal Information that we may collect. This Policy may change from time to time. The most up to date version will be available on our website.

We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the ‘Privacy Act’). The APPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

Overview

POA will collect and store Personal Information to carry out the services that we provide.

You may choose to use a pseudonym or deal with POA anonymously where it is lawful or practical. However, if you so choose to do so, POA may request that you identify yourself if it is impractical for us to provide services to you anonymously or under a pseudonym.

Collection of your personal information

Personal Information is information or an opinion that identifies an individual.  Examples of Personal Information that we may collect about you includes: 

  • Name and date of birth;
  • Your authorised representative;
  • Company details, including director/shareholder information;
  • Trust structure information, if applicable;
  • Business details;
  • Business and postal addresses;
  • Email addresses;
  • Telephone numbers;
  • Details of or relating to intellectual property;
  • Details of properties owned by you;
  • Credit card or direct debit account information;
  • Other publicly available information.

Your Personal Information is obtained in many ways including when you contact us to obtain information regarding our services, during contract negotiation, general email or telephone correspondence, via our website, from publicly available sources, from cookies on our website and from third parties including referrals. 

We collect your Personal Information for the primary purpose of providing our services to you, providing information to land owners and marketing.  We may also use your Personal Information for secondary purposes that are closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure. 

If we operate them, you may unsubscribe from our mailing/marketing lists at any time contacting us in writing or online by clicking unsubscribe.

When your Personal Information is collected, POA will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it.

Cookies and Analytics

POA uses cookies on our website.  A cookie is a piece of data that a website sends to your browser and which is then stored on your computer or other internet enabled device.  As you browse through the website, cookies will be placed on your computer so that we can understand what you are interested in. 

POA uses third party analytics providers to collect data about your interaction with our websites.  This data is hosted by a third party.  The sole purpose of collecting this data is to improve your experience when using our websites.  It does not contain personal or identifiable details.  The type of data we collect in this tool includes:

  • your device’s IP addressed (collected and stored in an anonymised format);
  • device screen size;
  • device type, operating system and browser information;
  • geographic location (country only);
  • referring domain and out link if applicable;
  • search terms and pages visited;
  • data and time when website pages were access.

Why your personal information is collected

POA will use collected Personal Information to:

  • Negotiate, execute and fulfil contracts in the ordinary course of providing services to you;
  • Set up credit card or direct debit accounts;
  • Credit history checks and trade reference checks;
  • Deliver payments and services;
  • Manage client and business relationships;
  • Send invoices, remittance advice or notices to you;
  • For use in billboard inventory management system and customer relationship management software.

In order to achieve the purposes above, we may disclose the Personal Information the organisations and persons listed below:

  • Your authorised representative and the authorised representative of the other party involved in the service we are providing to you;
  • Contractors engaged to repair or maintain a sign on the property of land owners we engage with;
  • Parties that own any independent third party software that are used in our business;
  • Financiers, lawyers, accountants, and other consultants engaged by us;
  • Contractors or third party organisations involved in maintaining or upgrading our business software, processes or systems, including computer or billboard software;
  • Contractors or third party organisations that own payment systems that we use;
  • Persons or organisations involved in purchasing part or all of POA;
  • As otherwise required or authorised by law.

POA may rely on third party suppliers or contractors to provide specialised services such as web hosting, cloud computing technology and data storage services.  If Personal Information is provided to these suppliers and contractors in order to enable them to perform the agreed tasks, we will make every effect to ensure that the supplier or contractor handles the personal information in accordance with the Privacy Act and the APPs. 

The Personal Information will be stored by POA for as long as it is required to provide services to you, to fulfil the purpose for collecting the Personal Information or until you object to use of the Personal Information by POA.  If you object to the use of the Personal Information, POA may be unable to continue to provide services to you.  However, most Personal Information will be stored by us for a minimum of seven (7) years.

Accuracy of Personal Information  

Paradise Outdoor Advertising will take reasonable steps to ensure that all personal information is up to date and accurate.  If you believe that the information Paradise Outdoor Advertising holds is not accurate, please contact us to update our records.

Security

POA will take reasonable steps to protect your Personal Information from misuse, modification, unauthorised disclosure or loss. 

POA will:

  • Store paper information securely and ensuring buildings are secured;
  • Information to be accessed by authorised personnel only when required;
  • Ensuring online systems are protected; and
  • Regularly updating storage and data security systems for third party software.
Access to Personal Information

You have the right to ask for access to the Personal Information that POA holds and for it to be corrected, unless there is a law that requires or allows us not to. 

Please contact us using the contact details contained in this policy to request access to your information.  We will require a verification of identity before we release the details of any Personal Information or allow any Personal Information to be corrected.

Complaints

If you consider that there has been a breach of the Australian Privacy Principles, you are entitled to complain to POA using the details listed above.

We will acknowledge receipt of a complaint within five (5) business days.

We will investigate the complaint and attempt to resolve the complaint within 20 business days after the complaint was received.  Where it is anticipated that this timeframe is not achievable, we will contact you to provide an estimate of how long it will take to investigate and respond to the complaint.

Review

This policy is to be reviewed as follows:

  • Annually as a minimum;
  • Following an information security incident;
  • Following significant changes to our systems; and
  • Following changes to the relevant State and Commonwealth legislation.

Reviews are to examine the appropriateness of the policy taking into consideration corporate, systems and compliance requirements changes since the last review was undertaken.
